How Augmented Reality Arts ApS collects, uses, stores and deletes personal data on augmentedrealityarts.com.
Last updated: 8 August 2026
1. Who is responsible for your data
The data controller for personal data processed through this website is:
- Augmented Reality Arts ApS (Anpartsselskab (ApS) — Danish private limited company)
- CVR (Danish business register): 42818666
- EU VAT: DK33858183
- Registered address: Struenseegade 25, 3. th, 2200 København N, Denmark
- Email: info@augmentedrealityarts.com
- Telephone: +44 7440 319979
We are established in Denmark, so this policy is written under Regulation (EU) 2016/679 (GDPR) and the Danish Data Protection Act (databeskyttelsesloven). We have not appointed a Data Protection Officer, because we are not required to; enquiries go to the address above.
2. What we collect, and why
2.1 Contact form
When you use the contact form we process the name, email address, company name (optional), topic and message you submit, plus the time of submission and the IP address the request came from.
- Purpose: to read and answer your enquiry, and to keep a record of what was agreed.
- Legal basis: Art. 6(1)(b) GDPR (steps at your request prior to a contract) or Art. 6(1)(f) (our legitimate interest in answering correspondence). The IP address is processed under Art. 6(1)(f) for abuse prevention.
- Retention: 12 months from the last message in the thread, then deleted.
2.2 Publishing submission (game pitch) form
When you submit a project we process your studio name, contact name, email address, country, game title, genre, production stage, target platforms, the links you supply (pitch deck, playable build) and your project description, plus submission time and IP address.
- Purpose: to evaluate the submission, reply to you, and — if we go forward — to negotiate a publishing agreement.
- Legal basis: Art. 6(1)(b) GDPR (pre-contractual steps at your request), together with your explicit consent given on the form where consent is the more appropriate basis.
- Retention: 24 months, so that we can recognise a resubmission and honour anything we told you. Deleted sooner on request unless we have entered into a contract with you.
- Confidentiality: submissions are read by our production team only and are not shared outside the company. We do not sign NDAs before a first read, so please do not send material you are not free to share.
2.3 Server logs
Our web server records the request URL, timestamp, HTTP status, referrer, user agent and a truncated IP address for every request. These logs exist to keep the service running and to detect abuse.
- Legal basis: Art. 6(1)(f) GDPR — our legitimate interest in operating a secure, available website.
- Retention: 30 days, then rotated and deleted.
2.4 What we do not do
- We run no advertising pixels, remarketing tags or conversion trackers on this website.
- We run no third-party analytics (no Google Analytics, no Meta Pixel, no Microsoft UET on this site).
- We do not build profiles, and we take no automated decisions with legal or similarly significant effects.
- We do not sell, rent or trade personal data. Ever.
- Web fonts are self-hosted, so loading a page sends your IP address to no one but our own server.
3. Who else sees your data (processors)
We keep the chain short. Personal data submitted through this website is handled by:
- Our hosting provider, which operates the servers storing the website, its database and its logs, inside the EU/EEA, under a data processing agreement pursuant to Art. 28 GDPR.
- Our email provider, which delivers form notifications to our corporate mailbox on augmentedrealityarts.com, also under an Art. 28 agreement.
We do not transfer personal data outside the EU/EEA. If that ever changes, this policy will name the recipient, the country and the transfer safeguard before the transfer happens.
4. Cookies and local storage
This website sets no cookies. It writes exactly one key to your browser’s local storage — ara-notice — to remember that you closed the privacy notice. It is strictly necessary for a function you asked for, contains no identifier, and never leaves your device. The full list is in our Cookie Policy.
5. Your rights
Under the GDPR you have the right to:
- access the personal data we hold about you, and receive a copy;
- have inaccurate data corrected;
- have your data erased where we no longer need it;
- restrict or object to processing based on our legitimate interests;
- receive data you gave us in a portable, machine-readable format;
- withdraw consent at any time, without affecting processing already carried out.
Write to info@augmentedrealityarts.com and we will answer within one month. We may ask you to confirm your identity first — only so that we do not hand your data to somebody else.
6. Complaints
If you believe we are handling your data unlawfully, you can complain to the Danish Data Protection Agency:
- Datatilsynet, Carl Jacobsens Vej 35, 2500 Valby, Denmark — datatilsynet.dk
You may also complain to the supervisory authority in your own EU country of residence.
7. Security
The site is served over HTTPS only. Form submissions are validated and rate-limited on the server, database queries use prepared statements, and access to submitted data is limited to the staff who need it. No system is perfect; if we ever suffer a breach affecting your rights, we will notify the Danish Data Protection Agency within 72 hours and inform you where the law requires it.
8. Children
This website is a corporate and business-to-business site and is not directed at children. We do not knowingly collect personal data from children through it. Age ratings for individual games are published on each title’s page.
9. Changes to this policy
If we change how we handle personal data we will update this page and the “last updated” date above. Material changes affecting people who have already submitted data will be communicated by email where we have one.
